We are a much-respected Strata Management service provider based in Earlwood in Sydney's Inner West. We provide our clients and industry cohorts with professional, sector-leading service and expert information. We attend to financial management, property maintenance, scheduling and running meetings and dealing with the resultant workflows.
Our sector is fast-paced and going through a period of rapid change providing a fantastic opportunity for an experienced Property Maintenance & Administration Assistant. We are a friendly, supportive and collaborative team looking for the right candidate for this varied and interesting role in a positive and energetic environment.
The position is Full-time, Monday to Friday from 9am - 5pm.
Immediate start.
This role supports the Strata Management team and works under the supervision and guidance of experienced strata managers. You will be part of a collaborative and supportive team environment with opportunities for long-term career development.
Property Maintenance
Dispatching and coordinating contractors for repairs and maintenance requests (a large proportion is plumbing work orders) including arranging site access.
Dispatching and coordinating contractors for regular maintenance items.
Prioritising urgent jobs and managing workflow efficiently.
Monitoring job progress to ensure works completed on time.
Invoice processing.
Lodging and managing insurance claims.
Maintaining your own diary / scheduling system.
Ensuring smooth communication with all stakeholders.
Administration
Answering and directing incoming phone calls.
Responding to general email enquiries.
Greeting visitors to the office.
General reception duties including ad-hoc tasks as instructed by manager/s.
Providing administrative support to the team including with general meeting preparation etc.
Skills required by the successful candidate
Essential:
Excellent time-management skills with the ability to prioritise competing demands to ensure deadlines are met.
Strong problem-solving ability.
A confident, courteous and professional manner.
Exceptional verbal and written communication skills with attention to detail.
Strong computer literacy and ability to learn new systems and processes quickly.
Proficiency in Microsoft Office Suite (particularly Word, Excel and Outlook).
Work cohesively in a team environment.
Flexibility and openness to learn new processes.
At least 2 years' experience in office administration.
Year 12 completion or equivalent qualification preferred.
Permanent right to work in Australia.
Highly desirable:
A certificate of registration in Strata Management
Experience in Strata or Property Management
