We are seeking an experienced and highly organised Legal Assistant to provide comprehensive support to the Head of Class Actions and their team. This is a key role within a fast-paced, high-performing team, and offers the opportunity to work on some of the most significant class action proceedings in Australia.
This is a full-time, office-based position requiring attendance five days per week. The successful candidate will be an integral part of the team's day-to-day operations, ensuring the seamless coordination of legal and administrative matters across a demanding and dynamic caseload. Key Responsibilities
As a Legal Assistant in the class actions and litigation team, responsibilities will include, but not be limited to, the following: Diary management, including scheduling meetings/conferences with internal and external stakeholders (including booking rooms and organizing catering as required). Inbox management, including maintaining meticulous records of all case-related emails and materials. Co-ordination of travel arrangements (in conjunction with our in-house travel team).
Preparing and proofreading correspondence and documents. Assisting with, and tracking, electronic Court filings. Assisting with the preparation of court books, hearing bundles, briefs to counsel, and other litigation support materials.
Managing and maintaining filing systems, and assisting with document management across large-scale litigation and class action proceedings. Triaging and assisting with telephone enquiries from clients, counsel, court staff and other internal and external stakeholders; developing relationships internally and externally in order to facilitate the smooth operation of the practice. Managing the billing life cycle, including electronic submission of time and disbursement entries, processing of credit card expenses, preparation and tracking of prebills through the review process and invoice finalization.
Liaising with our Legal Project Management team to ensure accurate reporting against matter plans and budgets. Matter management including arranging conflict searches, opening and closing matter files, archiving, electronic filing of correspondence and documents, and physical filing where required.
The role requires you to manage competing priorities across multiple matters and deadlines, exercising sound judgment in prioritising tasks effectively Required Skills & Attributes The ideal candidate will bring the following skills and experience to the role: Significant prior experience as a legal assistant, legal secretary, or litigation support professional within a major law firm or in-house legal team, with a strong preference for candidates who have supported class actions. You will have an understanding of court procedures, filing requirements, and litigation processes across federal and state jurisdictions.
You will possess exceptional organisational skills with the ability to manage a high volume of work across multiple matters simultaneously, maintaining meticulous attention to detail at all times. Strong written and verbal communication skills are essential, along with a professional and proactive approach to stakeholder engagement. Proficiency in Microsoft Office Suite, document management systems, and legal practice management software is required.
Experience with electronic court filing systems will be highly regarded. You will be a team-oriented professional who thrives in a collaborative environment, while also demonstrating the initiative and self-sufficiency to work independently when required. A high degree of discretion and the ability to handle confidential and sensitive information with care are essential attributes for this role.
