KG Foods is a family-owned Australian food manufacturer and wholesaler with over 40 years of experience. The company has expanded its food manufacturing presence in South Australia through the acquisition of Paris Creek Farms and Pangkarra foods. We are seeking an experienced Customer service coordinator to support the Sales team and key accounts in FMCG South Australia market.
The Customer Service Coordinator is responsible for managing invoicing and pricing for independent retailers in SA, maintaining accurate aging receivables, supporting the sales team with timely data and insights to grow sales, and proactively calling customers to follow up on weekly orders. This role balances transactional accuracy with proactive customer contact and internal collaboration.
Key Responsibilities
Prepare, issue and reconcile invoices for independent retailers in SA.
Maintain and update pricing records, special pricing agreements and promotions.
Coordinate with finance and sales to resolve billing discrepancies and credits.
Monitor and maintain up-to-date aging receivables for all customers.
Chase overdue accounts through calls and written reminders in line with company credit policy.
Escalate high-risk accounts to management.
Provide regular sales reports, order histories, and customer performance data to the sales team.
Assist in preparing customer proposals, pricing updates and promotional materials as required.
Proactively call customers to confirm, chase and follow up on orders needed for the week.
Log communications and outcomes in the CRM; ensure orders are progressed and any issues are escalated.
Provide excellent service, resolving customer queries related to orders, delivery and billing.
Maintain accurate customer master data and documentation.
Ensure processes comply with internal controls and company policies.
Key Skills & Experience
3+ years’ experience in customer service, accounts receivable or sales support (retail/wholesale preferred).
Strong experience with invoicing, pricing administration and receivables management.
Proficient with CRM systems and MS Excel (reporting, pivot tables).
Excellent verbal and written communication; confident on the phone.
Strong attention to detail, organisation and ability to manage competing priorities.
Team player with a proactive, customer-focused mindset.
Experience with ERP/accounting systems (e.g., MYOB, Xero, Sage) advantageous.
