Join a fast-growing cleaning and landscaping team based in Malaga, delivering high‑quality commercial and residential cleaning services, along with outdoor restorations, turfing, irrigation, soil preparation, paving and native/waterwise landscaping across Perth. With strong client demand and expanded horticultural capability following the acquisition of Perth Gardening Experts, landscaping has become one of our largest and fastest‑growing service streams.

As Office Manager, you will support a structured operational team including our Landscaping and Cleaning Operations Managers, Contract Administrator and multiple labour crews. You will also act as the main point of contact for field staff regarding health and safety standards, performance expectations, workflow systems and training coordination.

The Role

We’re seeking a proactive, organised Office Manager to support our landscaping operations across multiple sites. You will play a central role in project scheduling, personnel coordination, performance monitoring, WHS compliance, communication flow and skills development program oversight.

Key Responsibilities

· Develop and continually refine office systems to improve workflow scheduling, planning and operational standards.

· Coordinate daily and weekly schedules for the Landscape Gardener and multiple labour pods, ensuring accurate personnel allocation for multi day projects.

· Act as a key contact for labourers regarding Western Australian health and safety standards, safe work practices and administrative requirements.

· Monitor work performance of team members, including quality standards, completion rates, adherence to WHS and reporting performance outcomes to Operations Managers.

· Administer the Apprenticeship Training Program, including scheduling training, maintaining competency records, liaising with training providers and supporting the company’s broader “Continual Skills Improvement” initiative.

· Manage office records, client enquiries, quotes, job notes, access details and service variations.

· Prepare and maintain job sheets, WHS documentation, project files and compliance records.

· Support procurement of soil, turf, plants, irrigation components, paving materials, building materials and operational equipment.

· Liaise with Landscaping and Cleaning Operations Managers to maintain smooth workflow across concurrent projects.

· Assist with workforce and resource planning as demand for landscape installations, restorations and outdoor upgrades increases.

About You

· At least 2 to 3 years of experience in office management, with strong administrative, scheduling or operations coordination experience (landscaping/trades/construction highly regarded).

· Confidence in managing personnel and monitoring work performance.

· Excellent communication and customer service skills.

· Highly organised with strong attention to detail.

· Able to thrive in a fast paced environment with shifting priorities.

· Positive, collaborative and solutions focused.
