About the roles
We are currently seeking two Operations Administration Assistants to join our Macquarie Park office, conveniently located just a 5–7 minute walk from the North Ryde Metro Station.
These roles will provide planning, coordination and administrative support to our Operations team, helping ensure projects are delivered efficiently and contractual obligations are met.
Working closely with our Business Operations Manager, Transport Scheduling Manager, supervisors, subcontractors and customers, you will support the day-to-day administration of operational projects and contracts.
Your responsibilities will include:
Providing administrative and planning support to the Operations team
Managing project documentation and maintaining accurate job files
Uploading and maintaining documentation within client systems and internal databases
Liaising with internal teams, subcontractors and customers to support project delivery
Assisting with work order management, job registers and documentation tracking
Reviewing contractor paperwork and documentation prior to submission to clients
Updating internal systems to reflect job status and project progress
Assisting with invoicing, claims documentation and reporting as required
Supporting the coordination of work orders and operational activities across projects
These roles are key to ensuring smooth project delivery and maintaining strong relationships with customers and stakeholders.
MUST HAVE FOLLOWING:
Proven experience in a planning/administrative role, preferably within the construction or facilities management industry. Comfortable with high volume of system admin/data entry needed in role to ensure all information is always up to date.
Exceptional time management, prioritisation and attention to detail skills, with the confidence and ability to deal with multiple competing commitments within tight deadlines.
Excellent stakeholder management and communication skills, with demonstrated experience in engaging diverse teams and customers.
Strong task management focus with a drive for results.
Proficient in using Simpro Project Management software, Dashpivot, DMS or similar IT systems.
